NZIA Practice Manager

The New Zealand Institute of Architects in association with Red Gravel Publications is pleased to announce the launch of NZIA Practice Manager. This is an innovative software program which has been developed specifically for NZIA members and endorsed by NZACS (insurance arm) to assist in not only improving the commercial performance of their practice, but also to protect themselves and their practice from litigation.

NZIA Practice Manager takes an individual project through the initial Design and Approval process and continues through to the Procurement and Contract Administration phases. This is done by using a series of formalised procedures, fully customisable pro forma documents (including AAS 2007) and check lists and all within the parameters of the various legislative and industry guidelines.

NZIA Practice Manager (which is only available to members of the NZIA that also subscribe to the NZIA ADS suite) is suitable for use in practices from the very small through to the large. It contains a substantial amount of checklists, pro-forma documents including the NZIA ADS suite.

The programme is project specific and contains a range of functions that are necessary for the running and administration of each project. Some of the major functions include;

  • Flow Charts which reflect the intuitive phases of the project which are linked to checklists and documents throughout.
  • Project Contacts list specific to each project and can be imported directly from Outlook or Outlook Express
  • Communication centre where you are able to store and retrieve all your documents and drawings for any project such as emails, letters, contracts, sketches, images, phone notes, site reports, AD's etc. A powerful search engine allows for quick and easy retrieval of any document.
  • Project Time Sheets where all work performed by anyone on the project can be recorded and interrogated - easily linked to your own time/cost software
  • Internal Resource Web Browser - Allows users to store web sourced information such as materials, building systems, codes, Councils, Authorities etc for a specific project and/or globally to be used in other projects. Links to GreenBuild, MasterSpec etc are also provided.
  • User Alert system - this valuable management tool not only assists in automatically delegating tasks to staff but more importantly ensures that the tasks are carried out.
  • Email Management system - file all your emails for any project quickly and efficiently and in chronological order.

NZIA Practice Manager provides you with a "one stop shop" for anything you require for your projects and keeps you in control, organised and free to manage the more important tasks in being an architect. The programme is extremely intuitive and requires minimal downtime for implementation into most practices and was specifically designed to address the issue of "inefficient downtime". Costs

Annual Licence Fee: The first licence purchased for a staff member is NZD $450.00 and then the cost is reduced to NZD $250.00 for each licence per staff member per organisation /year thereafter. (These prices exclude GST)

As an example, if you have an office with 5 staff, the cost of the program will be:
(1 x $450) + (4 x $250) = $1,450.00 + GST

Definition of Staff: A person who works on any component of a project including administration staff. Therefore when calculating your staffing numbers, you would probably exclude receptionists, telephonists etc (unless they worked directly with clients, consultants, authorities etc and were required to diarise notes). Remember, the program is designed to be used by all staff members.
